What to include in a sample request
Tell us about the property, the current room-key format, the access points the card must serve and the visual direction you are considering. If available, provide a current working credential or verified technical information from the property’s access setup.
For custom artwork, include the hotel logo and any brand guidance that will affect colour, typography or finish. Early information does not need to be a final production file; it should be enough to understand the intended result and identify questions before proofing.
Review material and print
Surface
Assess the natural paper character, colour and tactile feel in the lighting where guests will receive the card.
Artwork
Check logo clarity, fine detail, colour, contrast and the placement of any special finish.
Construction
Review edge quality, stiffness, thickness and fit with any reception or room equipment that handles the card.
Sleeve
If a sleeve is planned, test insertion, removal and the combined feel of the welcome set.
Run an access test
Use a technically matched sample through the same encoding and guest-access process used during a normal stay. Test more than one room and include every shared-access point that matters to the property.
Record the sample reference, test locations, result and approver. Production should follow only after the technical configuration and physical appearance are both accepted.
